  • How do I know who attended a Clickmax Meet meeting?

Fetch the meeting through the Clickmax API (/scheduled-calls/get) or the scheduled_calls_get MCP tool. The meetParticipants field lists every person who joined the room, with each entry and exit time and the total time. To react right away, use the Participant Joined the Meeting and Participant Left the Meeting triggers or the Participant joined the meeting and Participant left the meeting outgoing webhook events.

This only works for meetings with a Clickmax Meet room. On Google Meet or a fixed link, the room is not Clickmax's and there is no way to tell who joined.

    Before you start

    • On a group call, a person is tied to their own meeting only when they join through the lead's personal link. Someone who joins through the generic room link shows up only with the name they typed.
    • Someone who can only see their own calendar, or who cannot reach a colleague's meetings, gets an empty list on the meetings out of reach, just like the recording and the report.

Work out attendance for a group call

    1. Pick the meeting of any registrant of the session and call /scheduled-calls/get with its id.
    2. In meetParticipants, keep the people whose role is guest and identified is true. Each one has the registrant's scheduledCallId and leadId.
    3. A registrant missing from that list did not join through the personal link. They may have missed it, or joined through the generic link: check the people with identified set to false by name.

The list covers the whole room and is the same for any registrant of the session. One meeting of the group is enough.

    What each person carries

    • role: host or guest.
    • name: the name shown in the room.
    • identified: true when the guest joined through the personal link, and always true for the host, who joins signed in. It is also false for a guest of another meeting of the group that you cannot reach.
    • scheduledCallId and leadId, plus leadEmail and leadPhone: the meeting and the contact of the identified guest. Empty for the host and for anyone not identified.
    • userId: the workspace user who joined as host.
    • firstJoinedAt and lastLeftAt: the first entry and the last exit.
    • sessions: each entry (joinedAt) and exit (leftAt), in order. Someone who left and came back has more than one. An empty leftAt means the person is still in the room.
    • connectedSeconds: total time in the room, in seconds.

Get each entry and exit as it happens

    • Automation: the Participant Joined the Meeting and Participant Left the Meeting triggers. See How do I start an automation from a Clickmax Meet meeting?.
    • Outgoing webhook: the Participant joined the meeting and Participant left the meeting events. The body carries the meeting, the contact, the role, the name, whether the person was identified and the movement time. See Webhooks.

Both arrive a few seconds after the movement. The webhook may, rarely, arrive twice: use the body's movementId to drop repeats.

If the person does not show up

    • They joined a group call through the generic link. They show up only by the typed name, with identified set to false. Send the personal link in the invite.
    • The meeting is not on Clickmax Meet. Check the meeting location in the meeting panel.
    • The person is still joining. The list shows the entry a few seconds after the person enters the room.
