  • Where do I see my workspace's AI usage?

In the side menu, click Max AI Chat and, under the Max AI group, open AI usage. The screen shows the workspace's AI usage day by day, who on the team used it and in which features: conversations with Max, live chat classification and conversation summaries, meeting and call reports, transcriptions, image generation and the platform's other AI features.

    Before you start

    • The screen is available to the Owner, the Administrator and any Member whose job title has View on the Plano e cobrança permission, such as the default Financeiro job title. The Integrator has no access. Without the permission, the AI usage item shows in the menu dimmed with a lock; see Roles and permissions.
    • Usage always belongs to the selected workspace. To see another workspace, switch to it first.

    Open the screen

    1. In the side menu, click Max AI Chat, the first item.
    2. In the Max panel, under the Max AI group, click AI usage.

    Pick the period

In the Period selector at the top of the screen, choose Last 7 days, Last 30 days or Last 90 days. The screen opens on Last 30 days. The cards, the chart and the tables all switch to that range. Usage older than 90 days does not show here.

Days on this screen follow UTC time. Anything after 9 p.m. Brasília time lands on the next day.

The cards at the top add up the period. Tokens processed is the total number of tokens the AI read and wrote, and AI uses counts how many times an AI feature ran. A token is the unit the AI measures text in: long requests, conversations with a lot of history and long answers use more tokens.

Read the usage per day chart

The Usage per day chart shows each day's usage as stacked bars, with one color per feature or per member, depending on whether you pick Split by feature or Split by member, and the Tokens as a dashed line on its own scale on the right. The features or members that used the most AI in the period get their own color. When there are many, the ones with less usage add up in a gray color called Others.

Above the chart there are three selectors:

    • Split by feature or Split by member: picks whether each bar color is a feature or a person on the team. Split by member, usage nobody triggered shows as Automatic.
    • All features: pick a feature so the chart shows only its usage.
    • All members: pick a person, or Automatic, so the chart shows only their usage.

The selectors only change the chart. The cards and the tables keep showing the whole workspace for the period. If the combination has no usage, the chart shows No AI usage with these filters in this period.

The legend, right above the bars, lists the chart's colors. Click an item to hide that series; its name gets struck through and its bar leaves the chart. Click again to show it. The Tokens item turns the line on and off.

Hover over a day to see each series' usage that day, largest first, the sum of the visible series and the day's Tokens.

    By member

The By member table lists each person on the team who used AI in the period, with their name and, below it, their email. Each row shows the person's usage, Tokens and Uses. Someone who left the workspace shows as Removed member.

The Automatic row, captioned Automations and background tasks, holds usage no member triggered: classifying incoming live chat messages, suggestions generated in the background, the report and memory generated at the end of a meeting and other actions that run without anyone clicking.

    By feature

The By feature table splits usage by what the AI did, with the same columns as the member table. Max's features have their own names, such as Conversations with Max, Improving requests to Max, Voice dictation in Max and Images created by Max. The other areas' features start with the area before the colon, for example Live chat: message classification, Live chat: reply suggestion, Contacts: Contact X-ray, Contact import: column detection, Proposals: slide creation, Webinars: session report, Calls: transcription, Meetings: report, Meetings: questions about the meeting and Meeting training: script.

To explain a spike in the chart, split the bars by feature to see which one grew, then filter by that feature with Split by member to see whether it was one person or Automatic.

    If it didn't work

    • The AI usage item shows a lock: your job title does not have View on Plano e cobrança. Ask an Owner or Administrator in Settings → Permissions.
    • The screen shows No AI usage in this period: nobody in the workspace used AI in the chosen range. Switch the Period to a longer range.
    • The chart shows No AI usage with these filters in this period: the chosen feature or member did not use AI in the period. Go back to All features and All members.
    • A color disappeared from the chart: its legend item is struck through. Click it to show it again.
    • The screen shows Couldn't load AI usage: click Try again. If the message stays, reload the page in a few minutes.
    • Recent usage does not show yet: each use reaches the screen once the AI answer finishes. Refresh the page after a few minutes.
    • The day does not match what you remember: the screen counts days in UTC, so late-evening usage shows on the next day.
    • An AI agent's usage does not show: agents created in My agents run on your provider's key (OpenAI or Anthropic), and that usage shows in the provider's dashboard. The same goes for the copilot and for the report of a meeting with an agent in the room. See Create an AI agent with your own key.
