  • How do I put the lead in a pipeline from the funnel?

The Pipeline step puts the lead in a pipeline stage when they go through a funnel trigger, for example when they leave their contact on a capture page. You choose the pipeline and the stage, connect the trigger, and that's it: there is no automation to create or activate.

Role: any user with access to the funnel in the workspace can edit it. See permissions.

Before you start: the funnel must be open in the builder, and the pipeline must have at least one stage.

    Steps

    1. Open the funnel in the builder.
    2. Drag the connection from a step trigger (for example, Contact Captured on a capture page) and drop it on empty space. Choose Pipeline. You can also create the step on its own, by right-clicking the canvas, and connect the trigger later.
    3. In How do you want to start?, choose Use an existing pipeline and click the pipeline. Create pipeline opens the pipelines screen in a new tab; when you come back to the funnel, the new pipeline shows up in the list.
    4. In Which stage does the lead enter?, choose the stage and click Use this stage.

The card shows the pipeline name, the Active status and the stages in pipeline order, like a board column. The chosen stage is highlighted, and connections land on it. Inside it, When shows the triggers that bring the lead to that stage. In pipelines with many stages, the ones that don't fit are summarized, like +3 stages.

From then on, every lead that goes through the connected trigger enters the chosen stage: if they don't have a card in that pipeline yet, the card is created in the stage; if they do, the card is moved to it.

    Connect and remove triggers

On the highlighted stage, When lists the triggers connected to the card. If the card has no highlighted stage (for example, when the stage was removed from the pipeline), the list shows right below the pipeline name. With more than one, it shows When 3 triggers: click it to see each trigger and the funnel step it comes from. Hovering a trigger highlights its source step on the canvas.

    • To connect a trigger without dragging a connection, click Select trigger (or Add trigger, when there is one already) and pick a trigger from the funnel. The list only offers triggers that put the lead in the pipeline; the others show This trigger doesn't put the lead in the pipeline, and the ones already connected show as already connected.
    • To remove a trigger, click the X next to it in the list. The connection disappears from the canvas.

See the pipeline without leaving the funnel

Click the highlighted stage on the card, or open the card menu (⋮) and click Open pipeline. The pipeline opens full screen over the funnel, with its stages and opportunities. There you can open an opportunity, filter and create opportunities just like on the pipelines screen.

    • To go back to the funnel, click the X in the top-right corner or press Esc. With an opportunity open, Esc closes the opportunity first.
    • Open in CRM opens the full pipeline screen in a new tab.
    • To rename the pipeline, click its name at the top, type the new name and press Enter. The name changes in the CRM and in every funnel that uses that pipeline. Only people who can change the pipeline structure can rename it; for everyone else, the name is read-only. See permissions.

    Numbers in Analytics

In the funnel's Analytics tab, the card shows how many opportunities are in each stage. On the highlighted stage, a bar and a line like 11% of the 187 opportunities in the pipeline show how much of the pipeline is in it. These numbers cover the whole pipeline, with leads from any source, not just this funnel. They also follow your permissions: if you only see part of the pipeline's opportunities, you only see that part in the numbers.

    Which triggers can be connected

The Pipeline only accepts triggers like Contact Captured and Purchase Approved from a page, contact capture from a quiz or webchat, and Meeting booked from a calendar. Triggers that only take the visitor to another page (like Form Submission, scroll, click or quiz completed) are refused with a warning.

The connection to the Pipeline doesn't take the trigger's redirect: the same Contact Captured can take the visitor to the thank-you page and, at the same time, put the lead in the pipeline. You can connect several triggers to the same card.

    Change the stage or remove

    • To change the pipeline or the stage, open the card menu and click Change pipeline or stage. Leads that go through the trigger after that enter the new stage.
    • To stop putting leads in the stage, remove the triggers (the X in the list, or delete the connection) or remove the card. The pipeline and the cards already created stay where they are.

    If it didn't work

    • The card shows Choose a stage: click Choose pipeline and stage on the card and pick the pipeline and the stage.
    • The card shows Pipeline unavailable: the pipeline was deleted or you don't have access to it. Click Choose another pipeline.
    • The card shows Pipeline archived: unarchive the pipeline on the pipelines screen or click Choose another pipeline.
    • The card shows Stage not found: the stage was removed from the pipeline. Click Choose stage and pick another one.
    • The card shows Couldn't load the stages.: click Try again. Until it loads, the card shows the last known stage.
    • The card shows When with Select trigger: no trigger is connected yet. Click Select trigger and pick a trigger like Contact Captured.
    • The lead was already in a later stage of the same pipeline: their card doesn't go back to an earlier stage.
    • The stage has passing rules (like required fields): the card is only moved if it meets the stage rules.
